We SHOULD NOT have each person speaking into their laptop when we are all collocated in a room – you are begging for several instances of feedback per meeting. In fact, I would say that the in-room participants should choose the no audio
option so that they can’t accidentally cause feedback. “web-broadcast f2f” is the proper model for speaking. In the document, it isn’t clear whether the speaking model is ‘co-located virtual’ (everyone talks into his/her own laptop), or ‘web-broadcast f2f’ – room mics and audio for the in-person part, piped in sound for the remotes. At the moment,
I don’t think it works for either. (you’d have either no in room mic/speakers or a setup as you describe). I think the group is settling on the latter (in-room mic and sound) rather than the former, and the document needs to get adjusted if that is the case.
I think in terms of help, we should not burden the chair with setup. That should be clear. Pre-covid, each room had at least two mics, so there was a mixer and the in-room speakers. We need
to get the output of that mixer into a laptop for the online participants. This should be easily done with a USB dongle that takes the same line level mix that runs to the speakers (need to contemplate more – may need to run mixer to laptop then laptop to
speakers to get audio for in room and online through the speakers. The audio contractor should be able to provide guidance here). Now, expecting each chair to correctly install these devices, I think that’s another story. Therefore, I would suggest each meeting
room has a dedicated meeting laptop that is the ONLY audio connection in the meeting room and also drives the projector. With this scheme, you can be sure all attendees are seeing and hearing the same thing.
