[802SEC] Updated Information regarding 2020 March IEEE 802 Plenary



Greetings,
   I wanted to send a short message today with some information on the upcoming 2020 March IEEE 802 Plenary.  WG Chairs please forward to your respective reflectors.

The 802 Executive Committee authorized the message I sent out last week, and then we held a call last Monday to discuss potential ways to help those that cannot travel to the March IEEE 802 Plenary this year.  Since then I have had more discussions with members of the Executive committee and exchanged numerous emails in trying to understand how to best prepare for the plenary session.

After a lengthy discussion and review, we believe that holding the meeting is the right thing to do.  We believe that we will have a significant majority of our normally attending attendees for our March Session.  Our meetings will be as normal as possible.  There will NOT be any extra access to the meetings. 

I understand that about 10% of or members generally come from China.  I understand that the majority of them may be quarantined and/or are working from their respective homes.  To them and their families, I send our best wishes and hope that they can remain safe and healthy.  If you have already registered, please send a request to cancel your registration to 802info@facetoface-events.com (cc me, jrosdahl@ieee.org).  Refunds will start to be processed starting next week.

For those that will be able to attend our 2020 March IEEE 802 Plenary, I ask that if you have a cold/flu/fever that you stay away from the meeting rooms until you are better.
This is an expected courtesy for everyone involved. I know that airports are screening, but we know better than airport personnel if we are sick or not.

I am working with the hotel to have extra hand sanitizing stations and extra cleaning to be done in high touch areas (e.g door handles, restrooms, common areas).  Each person is encouraged to wash their hands more than normal, and practice good hygiene. We will ask that everyone use the microphones in the stands rather than handle them constantly.  Disinfecting wipes will be available to help keep them clean.

Lastly, I am asking the WG chairs to enlist everyone's help in getting potential submissions posted as early as possible to allow for discussions to take place on the respective TF/TG reflectors in preparation for the face to face meetings and if possible send a midweek update so those not able to attend can be informed of progress.

Together we can make this session a success.
