Pat,

   The EC voted to have a flat discounted registration fee of $500 per person for the foreseeable future without regard to the actual cost of the meeting.  This had been $400 for several years, but as was demonstrated and explained last Nov, we have been loosing money each year (~$50K in 2011, ~$66K 2012).  With the Non-North American Venues costing significantly more money that the NA ones, we will not be in the black for these meetings, and on the contrary will have a larger deficit for those meetings.  The expectation was for the NNA meetings to have as much as a $300k shortfall.

We are currently running closer to 700 attendees for Plenaries, and the number of attendees for Non-North America venues is expected to be even lower due to the higher costs of attendance which adds to our deficit problem.

Each EC member should be looking for potential Sponsors and encourage their participation.

    You point out the realities of financial responsibilities.  I am working with Bob and F2F to find venues that we can afford, but we will need to realize that the mandate to hold these Non-North American venue Plenaries will stretch our budgets (and patience), but the reason we hold them is the thought that it is important to meet in various places around the world to allow/encourage a broader attendance to our meetings.

The Meeting fees overall will be judged and watched over by the Treasurer, and he will be coming back to request adjustments sooner if we do not find Sponsors for our Non-NA meetings.

Yes, but remember the targets we set last year for venues like this were
for meeting space to be less than $350,000 if possible.  We are around
$325k for that at current exchange rates, the rest is because F&B is
higher(at least it is only 15% higher than it was when we met there 3 years
ago).  The difference between then and now is we had a sponsor who paid for
it and a better exchange rate.  Bottom line, if we want the Non US, NNA
venues at more affordable prices, we need sponsors. If we can not find
sponsors, we said we would self sponsor.
