Re: [802SEC] IEEE 802 and IETF leadership meeting



Most of the time will be spent on introducing the two groups to the process that each uses and discussing specific areas where we feel closer collaboration is needed.  It probably won't be productive for the meeting planners to be there for the whole day. The last hour of the day is when we plan on discussing follow-up plans and the next meeting.  

If there is interest from both sides, perhaps a meeting to see what's possible on coordinating future venues could also be set up as a follow up.  

Here is the current agenda:
8:30AM Breakfast 

9-9:30AM Introductions, Goals of the meeting 

9:30-10AM short introduction to IETF Areas, how IETF works, how decisions are made, how liaisons are managed 

10-10:30AM short introduction to IEEE 802 WGs, how IEEE 802 works, how decisions are made, how liaisons are managed 

10:30-10:45 coffee break 

10:45-12PM discussion about how to collaborate and manage relationship, exchange information about new work when charters are discussed, share information about IETF Last Calls and IEEE 802 Ballots, access to work-in-progress documents 

12-1PM lunch (discussions may continue over lunch pending on conditions) 

1-2:45PM discuss specific areas where collaboration is needed 

2:45-3PM coffee break 

3-4PM action items, follow-up methods, plans for next meeting

Colleagues,   I think it would be an excellent idea if we specifically
invite Dawn to attend this meeting since she is local (Santa Clara) to that
area and can drive to & from the meeting.  She could certainly help with any
planning required for the next meeting at the Caribe in Orlando as well as
any provisions for future interactions as well.  I believe the IETF meeting
planner is also local to the area (AMS - Fremont) so she could be invited as
well to help facilitate on their side.  It would be good to encourage our
meeting planners to interact so we could gain recommendations on non-North
American venues and encourage some future opportunities for back-to-back
sessions in international venues.  

I will see if I can arrange to be available for this first meeting but that
would require some extra travel expense for me to be able to participate.
Or maybe I could at least be there as a telecon participant ???        :-)

I've received a couple of inquiries on how to edit the table on the Wiki to
add your RSVP to:

You need to login (top of the page toward the right).  There is a Get Passwd
link in the column on the left of the page that you can use to get a login
password. 

Once you are logged in, there will be an Edit button on the bottom of the
page.

The agenda on that page has been updated with some more details. Breakfast
will be available at 8:30 and the meeting will start at 9 AM.

Dear Colleagues,

There have been some informal discussions between some of us at IEEE 802 and
IETF on how to improve communication and cooperation between our groups.  We
want to foster an open, collaborative, respective relationship. A
face-to-face meeting will help to start that up.

Both groups have meetings on the Pacific Coast of North America this July so
that is the best near term opportunity. IEEE 802 will be in San Diego and
IETF will be in Vancouver. Since there is a week between the meetings, we
have chosen to meet in the Bay Area on Wednesday, 25 July from 10 AM to 3
PM.

Agenda:

                Breakfast
1000       Introductions
1030       Discussion  of how to manage the relationship
1200       Lunch
1300       Afternoon time to discuss some specific areas where collaboration
is needed.

Please send suggestions of topics for the afternoon.

Cisco has graciously offered to host the meeting in Bldg 24 of the Cisco
campus in Milpitas, CA. This facility is a few miles from San Jose Airport
and has hotels within walking distance. Cisco will provide breakfast and
lunch for the meeting. More meeting details are on the wiki at:

Please add your name to the table at the bottom of the page if you plan to
attend so they can get a head count for food. They also will need your email
address and affiliation if you want to use the guest hotspot they provide.
The table also has spots for arrival and departure dates to facilitate
scheduling side meetings. There is also a spot to note any dietary
restrictions.

In March 2013, the two groups are meeting in the same hotel in Orlando in
adjacent weeks so a second meeting will probably be scheduled for that week.
