Bob,  I realize that Albuquerque was one of our less popular sites, and so there were strong desires to get out of there in any case, and the space issue was an attempt to justify a request for a release.  In that case, however, the hotel arranged for more than enough good meeting space at the convention center just across the street at no cost to IEEE802, and the ABQ Convention and Visitors bureau pitched in and found us more than an adequate supply of hotel rooms at bargain prices in  the nearby vicinty, so we really couldn't claim that Albuquerque just didn't work as an IEEE 802 venue.  If they had been unable to find sufficient meeting space, or sufficient sleeping rooms then we could have escalated our request for a relocation to another venue with success I'm sure.  So the lesson in this is don't book a meeting with a venue that so down-and-out that even at a late date they can find enough space to hold double your attendees from the roomblock.  

We actually had a better case with the San Antonio session but again the whole city pitched in to make sure that we had adequate facilities to do the full plenary session and the alternative site was the Hyatt DFW, which nobody thought was a good idea.  So what I'm saying is that if we should grow to the point where we can't get enough meeting space or hotel rooms, we will get a relocation deal, but as long as HR-ATL and the nearby properties can accommodate us, we will stick to our agreement and be there.  IEEE 802 is the final arbiter of what will work for us and what will not, but you do have to be able to justify your claim with some documented requirements that cannot be met.  

I hope this clears up what I meant by an option to relocate.

As I recall, many of us attempted to get you to pull the string on Alberquerque when we grew beyond the capacity of the hotel (or was it the city).  Your past actions speak louder than your assurance below that the contract would allow us to change locations.

Bob,  Let me point out that if our Group were to change so radically that Atlanta was no longer a viable location for us, we do have the option to find an alternative site.  With the extra meeting space we have in reserve and the many hotels nearby for overflow we would almost have to triple in size before that would become a serious consideration.


We have lots of opportunities to adjust our allocations with no penalty so I find it hard to imagine a scenario in which we do not come out ahead by having a great deal on the books.  If inflation goes rampant (which I consider a much more likely scenario) we win big time since we'll be paying our low prices with even less valuable dollars.  

It's an ill wind that does not blow someone a beneficial windfall.  

So where's the risk ???    Worst case our great deal turns into just a
good deal over time; I can live with that too.

Colleagues:

I am concerned about how far out these meetings are.  I looked back the same period as these contracts are looking forward  (4 and 6 years).  In July 2001 we had 1019 attendees, and in July 1999 we only had 469. 

My crystal ball isn't that good (I sure didn't project the dramatic attendance growth from 1999 to 2001), and don't even expect the growth of the last four years to continue at the same pace, but I do remember November 2001 being held captive in the Austin convention center because of a tornado in the area, people stealing a trash bag out of the janitor closet to make a poncho, and then walking through torential rain back to the overflow hotel whether other 802.3 meetings were being held.

I wouldn't be surprised if the Hyatt Regency Atlanta couldn't hold us in four years.  In six years who knows how big we will be, we might even have figured out how to transition to entity balloting and be back to a few hundred attendees ;-).

I'll reluctantly vote in favor of 2009, but vote against 2011.
