Matt, It is our standard policy to
compare our list of registered attendees with the list of folks in the hotel,
to help identify all those who got into the hotel via a non-802 link and make
sure that we get credit for them. We are currently adding language to our
program guidelines to make this a mandatory policy as well. Internet rates
like the one Geoff got are called “teaser rates”; they only allow
for a very limited number of reservations before they go away and get replaced
with higher rates, but allow the hotel to advertise their “Bargain rates”
widely. It’s an industry-wide problem right now, and everyone has to
struggle with it. The hotel is the ultimate loser though because they wind up
having to give us credit for rooms at lower than group rates. Fortunately our
rates at the Hyatt are just about as good as they get so I don’t expect
too much “leakage” there. Most of the other hotels in ABQ are
struggling however so we insisted on deals with no attrition penalties, since
rates will fluctuate wildly as they start to fill up.
Usually our rates are at least as good as
the best corporate rates, but when you book several years in advance and
encounter an industry-wide recession as we have ongoing now it’s possible
for the rates to wind up out of synch with the times. It’s great when it
works in our favor during boom-times, but a bit harder to deal with when it
goes the other direction. All things considered I think we continue to get
good rates overall even if we do have an occasional glitch.

As a note, I frequently
find my corporate rate is less than the IEEE802 negotiated rate. It
becomes difficult to convince the company that they should honor the 802 rate
and be a part of the 802 block when they can get the same hotel at a cheaper
rate in their own name. Normally what I do in such a situation is book
the AT&T rate, and then tell Face to Face who moves me into the 802 block
at the AT&T rate. I would assume that when we negotiate these
contracts that we formalize the ability to do this. That is our contract
should read that if one of the participants can register at a lower rate they
may do so, but still count towards fulfilling our room requirements. I
might even put a note in the meeting announcements that people who negotiate a
cheaper rate at the same hotel should take it and inform face to face so that
we make sure the hotel counts them on our booking.
Anyway, it’s just a
thought.

I have found a hotel that is actually VERY close to the Hyatt that slips
under most radar as it is no longer affiliated with a chain. It is less
than 2 blocks away from the Hyatt. that is a lot better than most
alternatives. It is also less expensive than the Hyatt.
